What online booking needs to do for an inspection company
Online booking lets a buyer or agent schedule an inspection from your website without calling your office. When it works, the booker picks a service, chooses an open time and gets a confirmation before closing the tab. When it breaks, you are counting on that person to pick up the phone instead.
For how booking fits with page speed, trust signals and service pages, start with our complete guide to home inspector websites.
Judge any booking setup by whether it does these five jobs:
- It shows only the times your inspectors can cover, so nobody books a slot you have to cancel.
- It lets the booker choose services and add-ons, such as radon or a sewer scope, in one pass.
- It collects the buyer's and the agent's contact details in the same record.
- It confirms the booking on screen so the buyer knows the request went through.
- It records where the booker came from, so you can see which pages, ads and listings pay off.
Embedded scheduler or linked booking page?
There are two ways to put booking on your site. You can embed the scheduler inside one of your own pages, or you can point a button at the scheduler's own web address. Spectora supports both. Its article on adding a scheduler to your website says "you can grab your embeddable widget," and it also says "You are also able to copy the URL of your scheduler."
ISN offers embed code for its Online Scheduler v3. ISN's setup article says its settings "provide HTML code snippets that can be copied and used to add your Online Scheduler to your website."
| Option | How it works | Best use | What to watch |
|---|---|---|---|
| Embedded scheduler | The scheduler loads inside a page on your own site | Your main Book an Inspection page | Test it on a phone and check that the page still loads quickly |
| Direct link | A button or link opens the scheduler's own page | Agent emails, your Google listing, text replies | Add UTM codes, short source tags on the end of the link, so the source is not lost |
If you embed, keep the scheduler on one dedicated booking page and run a test booking to confirm the source still reaches your inspection software. A direct link works where you can't paste code, like an email signature, a text message or your Google listing. On Spectora, tag each direct link with UTM codes so each booking shows its source in the External Scheduling Data export.
Setting up online booking in Spectora, ISN and HomeGauge
Each inspection platform keeps its scheduler settings in a different place. Set up availability and services before you share any booking link.
Spectora
Spectora's article on adding a scheduler says to "first go to Settings > Business & Scheduling Tools." Spectora's guide to using the online scheduler shows the booking order from the buyer's side. The booker first selects "the services and add-ons to be performed for the inspection" and then picks the date and time. Spectora says "A confirmation will appear once the inspection has been submitted."
ISN
ISN's Online Scheduler v3 setup article says "you'll need to make sure you have availability set up for all of your inspectors." It also warns that "Online Scheduler Version 2 and 3 are distinctly separate tools, and must be configured separately." If you move from version 2 to version 3, plan to rebuild your settings, because ISN says "Settings cannot be migrated between the two."
HomeGauge
HomeGauge's scheduler is called ScheduleNow. In a May 12, 2020 announcement, HomeGauge said it "allows your real estate agents and buyers to book appointments with single inspectors online 24 hours a day." The same post suggested "linking to ScheduleNow from your website." That announcement is several years old, so check HomeGauge's current help center before you set it up.
Spectora scheduler settings to check before you go live
The default settings may not match how your office runs. Spectora's online scheduler guide lists several options that deserve a decision before you share the link:
- Spectora has a setting "To have all online inspections show as unconfirmed on your calendar." This suits an office where someone reviews each job before it is final.
- You can hide service pricing in the scheduler. Decide whether buyers should see your prices before they book or hear them on a call.
- The "Don't allow scheduling within:" option exists "To prevent last-minute bookings". Use it if your team can't cover jobs booked on short notice.
- You can require clients and agents to enter their contact info before they choose a date. Decide whether you would rather collect details early or keep the first step short.
- You can let clients and agents choose their preferred inspector. That can suit a multi-inspector firm where agents ask for a specific inspector by name.
Once the settings are in place, run a few test bookings on a phone, once as a buyer and once as an agent. Check that the confirmation shows, the job lands on the right calendar and the add-ons carry through to the booking.
Where to put the Book an Inspection button on your website
A scheduler only books jobs if people can find it. Place the booking button wherever a buyer or agent is ready to act:
- Put a Book an Inspection button in the header of every page, next to a phone number that dials when someone taps it on a phone.
- Add a booking button to each service page, so a buyer reading about radon testing or a sewer scope can book that service on the spot.
- Add your scheduler link to your Google Business Profile (GBP), which is your listing in Google Search and Maps. Google's help page on business links lists "Book an appointment" among the things links can help customers do.
- Send agents the direct link in every email so they can book for their clients. In Spectora, the scheduler settings cover agents as well as clients. Our guide to working with real estate agents covers the rest of that relationship.
Keep the phone number beside every booking button. Some buyers will always call, and on Spectora accounts we treat a phone call as a heavier conversion than a click to the scheduler. For the listing side, see our Google Business Profile guide.
How to track online bookings back to their source
A UTM code is a short tag added to the end of a link that tells your reports where a visit came from. Google's URL builder help page says "you should always use utm_source, utm_medium, and utm_campaign." Give every booking link its own set of codes so you can tell each placement apart.
| Placement | utm_source | utm_medium | utm_campaign |
|---|---|---|---|
| Header button on your site | website | header | book-button |
| Radon service page | website | service-page | radon |
| Google Business Profile link | business-profile | gbp-booking | |
| Agent email | agents | spring-market |
On Spectora, the booking itself will not show up in Google Analytics. Spectora's article on tracking scheduling data says, "We do not have a direct integration with Google Analytics at this time." It also says Spectora doesn't "have the option to redirect the last page of the online scheduler." Booking source shows up instead in Spectora's External Scheduling Data export, which includes UTM codes and downloads as a CSV file.
That is why we tag every Spectora scheduler link with UTM codes and track the click to the scheduler as a GA4 event. GA4 is Google Analytics 4, Google's current analytics tool. The click event shows which pages and ads send people to book, and the export shows which bookings came in. Our guide to tracking Spectora bookings walks through both, and our paid ads guide covers how this feeds ad decisions. Our Websites service wires up GA4, call tracking and ad conversion tracking before launch.
